Clerk III Counseling Secretary - Mendon High School

The Pittsford Central School District is seeking counseling office secretary for Mendon High School. This is a 12-month, 260 work days, Monday–Friday, 7:00am–3:30pm position. This is an entry-level secretarial position responsible for performing routine secretarial tasks. The use of a personal computer for word processing and database entry is an integral part of this position. The successful employee will serve as secretarial support to the building. The work is done in accordance with well-defined objectives, policies and procedures, but detailed instructions are given for new or difficult assignments. The work is typically submitted in its final form and is subject to general review by superiors. Independent judgment is restricted to the application of standard procedures to specific cases. The employee reports directly to, and works under the general supervision of building administration and/or a higher-level staff member. 

Typical duties of the counseling secretary may include but not be limited to:

  • Attendance management
  • Prepares and formats legal documents, certifications, authorizations, forms, and other related paperwork
  • Enters and extracts data and information from a database
  • Posts and maintains moderately difficult records requiring general knowledge of department or agency functions
  • Schedules conferences and meetings, ensuring all participants are contacted, while resolving any scheduling conflicts;
  • Type materials from copy, rough draft, or other instructions
  • Prepares and types correspondence on matters where policy and procedures are well-defined
  • Reviews lists, documents, and applications for completeness and accuracy
  • Compiles, prepares, types, and reviews data for completeness and accuracy
  • Performs searches for information in documents, records, files, and computer databases
  • Maintains databases and filing systems
  • Obtains and gives out information by telephone, correspondence, or in person
  • Operates standard office machines such as a computer, copier, and fax machine
  • Coordinate office helpers (schedule, community services hours, messages)

CRMS Registrar

The Pittsford Central School District is looking for a Clerk II for Calkins Road Middle School to fill the position of Registrar. The school registrar will be responsible for directing school information and records services, including the collecting, maintaining and archiving of student information and records for reporting and compliance. The employee certifies enrollment, pupil accounting, and permanent academic records as required by district policies and procedures. This is a 12-month (260 work days) position; Monday–Friday 7:30am - 4:00pm. 

TYPICAL WORK ACTIVITIES: All need not be done in a given position. Other related activities may be performed although not listed. 

  • Coordinate the collection, maintenance, and reporting of student information including: building census, demographics, enrollments, attendance, scheduling, grade reporting, transcripts, transportation services, disciplinary action 
  • Generates computer reports using available report writer utilities
  • Serves as the building Records Retention Officer 
  • Audits and certifies monthly student enrollment activity, and student and retention 

Full Performance knowledge, Skills, Abilities and Personal Characteristics:

The successful candidate will have thorough knowledge of computerized record keeping specifically as it relates to school district and building records; good knowledge of multiple computer systems hardware and software; good knowledge of proper reporting techniques re: student population; ability to interview students to obtain pertinent and sensitive information; ability to identify students with special needs; ability to write queries for reporting purposes; ability to maintain student files on mainframe; ability to audit record keeping procedures for accuracy, thoroughness, and timeliness of recording; ability to maintain accurate demographic data on a computer; ability to prepare accurate written reports; ability to prepare informational forms; ability to interpret rules and regulations; ability to audit (monitor) data re: student activity utilizing a coding system; physical condition commensurate with demands of position.

Min. $18.73/hr + benefits
