Job Description

The Pittsford Central School District is looking for a Clerical Assistant to the Assistant Superintendent for Business. This is a 12-month (260 work days); Monday–Friday, 7.5 paid hours a day position. The successful candidate will manage complex clerical tasks, and make independent decisions for the district's business department. Work follows general guidelines and is usually submitted in final form without detailed review. Supervision is provided by the Assistant Superintendent for Business. The successful candidate will need to possess civil service certification as Office Clerk II or must meet qualifications to sit for the next exam.

TYPICAL WORK ACTIVITIES: (All need not be performed in a given position. Other related activities may be performed although not listed)

  • Provide confidential clerical and administrative support to the Assistant Superintendent for Business and the district business office, including managing calendars, scheduling meetings and appointments, and coordinating meeting preparation and follow-up.
  • Receive, prioritize, and respond to telephone calls, emails, correspondence, and in-person inquiries from district staff, retirees, vendors, families, and community members regarding business office matters.
  • Prepare, format, proofread, and distribute correspondence, reports, presentations, forms, and other business office materials, including materials for Board of Education meetings, budget presentations, audits, and district activities.
  • Prepare documents received from other departments and outside entities for review and signature by the Assistant Superintendent for Business, and/or the Superintendent and Board of Education President.  
  • Use district software applications, databases, and standard office equipment efficiently and accurately, and attend training necessary to maintain proficiency in applicable procedures, systems, and regulatory requirements.
  • Maintain records in accordance with district procedures and applicable retention requirements while protecting the confidentiality and security of financial, personnel, student, vendor, and other sensitive district information
  • Other tasks as directed by the Assistant Superintendent for Business

FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:

  • Knowledge of computer hardware, software, networking, office equipment, word processing, and database entry
  • Good knowledge of office terminology, practices, procedures, and equipment, with the ability to quickly learn departmental organization, functions, laws, policies, and regulations
  • Good knowledge of business arithmetic and English grammar and usage, with the ability to communicate clearly
  • Good knowledge of the techniques involved in record keeping and in establishing and maintaining a filing system
  • Good knowledge of forms available on the district website for the following departments: Business Office, Transportation, Food Service and Operations, Maintenance and Security.
  • Ability to understand and carry out complex oral and written instructions and exercise sound judgment in resolving complex clerical problems
  • Ability to deal with the public

Job Qualifications

Candidates must possess the Office Clerk II certification or must be eligible to sit for the Monroe County, Civil Service, Clerk II Exam when offered.

MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:

  • (A) Graduation with an Associate’s degree or successful completion of at least sixty (60) credit hours from a college or university; OR
  • (B) Two (2) years of paid full-time or part-time equivalent office clerical or secretarial experience*; OR
  • (C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above

*Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.
