Job Description

The Pittsford Central School District is looking for a Clerk II for Sutherland High School to fill the position of Registrar. The school registrar will be responsible for directing school information and records services, including the collecting, maintaining and archiving of student information and records for reporting and compliance. The employee certifies enrollment, pupil accounting, and permanent academic records as required by district policies and procedures. This is a 12 month (260 work days) position; Monday–Friday 7:30am - 3:30pm. 

TYPICAL WORK ACTIVITIES: All need not be done in a given position. Other related activities may be performed although not listed. 

  • Coordinate the collection, maintenance, and reporting of student information including: building census, demographics, enrollments, attendance, scheduling, grade reporting, transcripts, transportation services, disciplinary action 
  • Generates computer reports using available report writer utilities
  • Serves as the building Records Retention Officer 
  • Audits and certifies monthly student enrollment activity, and student and retention 

Full Performance knowledge, Skills, Abilities and Personal Characteristics:

Successful candidate will have thorough knowledge of computerized record keeping specifically as it relates to school district and building records; good knowledge of multiple computer systems hardware and software; good knowledge of proper reporting techniques re: student population; ability to interview students to obtain pertinent and sensitive information; ability to identify students with special needs; ability to write queries for reporting purposes; ability to maintain student files on mainframe; ability to audit record keeping procedures for accuracy, thoroughness, and timeliness of recording; ability to maintain accurate demographic data on a computer; ability to prepare accurate written reports; ability to prepare informational forms; ability to interpret rules and regulations; ability to audit (monitor) data re: student activity utilizing a coding system; physical condition commensurate with demands of position.

Job Qualifications

Must be eligible to sit for the Monroe County, Civil Service, Clerk II Exam when offered.

Minimum Qualifications: Candidates must meet the following minimum requirements on or before the date of the written exam: graduation from high school or possession of an equivalency diploma, plus either:

(A) Three (3) years of paid full-time or part-time or volunteer equivalent* office clerical or secretarial experience; OR,

(B) Graduation from a regionally accredited or New York State registered college or university with an Associate's degree in Secretarial Science, Office Technology or a closely related field, plus one (1) year of office clerical or secretarial experience; OR,

(C) Any equivalent combination of education and experience as defined by the limits of (A) and (B) above.

NOTES: Successful completion of one (1) year of college coursework (or 30 semester credit hours) from a New York State registered or regionally accredited college or university may be substituted for up to one (1) year of the required experience. Experience as a Teller, Cashier or Sales Clerk shall not be considered appropriate experience.
