Job Description

The Pittsford Central School District is seeking an Office Clerk III to fill the role of the CSE Secretary for the Special Education Department at Barker Road East. This is a 12 month, 260 work days, 7.5 hours a day position. The Committee on Special Education secretary will be responsible for the independent performance of clerical duties and the position requires a moderate degree of decision-making. The use of a personal computer for word processing and database entry and manipulation is an integral part of this position. The work is performed in accordance with well-defined objectives, policies and procedures, but detailed instructions are given for new or difficult assignments. The work is typically submitted in its final form and is subject to general review by superiors. The successful candidate will perform related work as required and should possess or be able to acquire IEP Direct skills. The successful candidate should possess the title of Office Clerk III or meet the minimum requirements to accept the job and sit for the Office Clerk III exam when the test is next administered.  

TYPICAL WORK ACTIVITIES: (All need not be done in a given position. Other related activities may be performed although not listed.)

  • Coordinate the scheduling of CSE meetings, including communication with parents/guardians and staff
  • Prepare, process, and distribute IEP's, prior written notices, and related special education documents in a timely manner
  • Maintain compliance with federal and state timelines and procedural requirements
  • Serve as a liaison between families, staff, administrators, and related service providers
  • Maintain accurate and confidential student records in accordance with FERPA regulations
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Ability to maintain strict confidentiality of sensitive student information
  • Ability to acquire and apply knowledge of special education laws, regulations, and district procedures
  • Experience with IEP Direct or similar special education data systems preferred (or ability to quickly acquire)
  • Prepare, format, and review for completeness and accuracy legal documents, certifications, authorizations, forms, and other related paperwork 
  • Post and maintain moderately difficult records requiring general knowledge of inclusive education requirements
  • Prepare and type correspondence on matters where policy and procedures are well-defined

  • Demonstrate strong executive functioning skills, including multitasking, organization, and sustained focus through task completion
  • Proficiency with technical systems, including student management systems, Microsoft Office applications, scanning and faxing, and the ability to effectively navigate and manage spreadsheets
  • Good knowledge of office terminology, practices, procedures, and equipment
  • Demonstrate strong written and verbal communication skills
  • Good knowledge of the techniques involved in record keeping
  • Ability to utilize a personal computer for word processing, database entry, spreadsheets, and other related computer software
  • Ability to maintain a filing system
  • Ability to prepare and type written communications and standardized reports
  • Ability to acquire familiarity with regulations, laws, policies
  • Ability to understand and carry out relatively complex oral and written instructions
  • Ability to communicate orally and in writing
  • Ability to deal with the public
  • Good judgment 

 

Job Qualifications

MINIMUM QUALIFICATIONS:

Graduation from high school or possession of an equivalency diploma, plus EITHER:

(A) Successful completion of at least thirty (30) credit hours from a college or university; OR,

(B) One (1) year paid full-time or part-time equivalent office clerical or secretarial experience*; OR

(C) An equivalent combination of education and experience as defined by the limits of (A) and (B) above.

*Experience as a Teller, Cashier or Sales Clerk will not be considered appropriate experience for the purposes of these minimum qualifications.

SPECIAL REQUIREMENT: If you are appointed, you will be required to possess a valid license to operate a vehicle in New York State or otherwise demonstrate your capacity to meet the transportation needs of the position
